I. Basic principle

MITSUI KNOWLEDGE INDUSTRY CO., LTD. recognizes the importance of protecting personal information and specific personal information as a member of the information service industry that handles a lot of information. In order to ensure the protection, we hereby establish our privacy policy as follows, and hereby declare to make our best efforts to handle, manage and maintain personal information and specific personal information appropriately.

II. Policy on the Protection of Personal Information

  • 1. We comply with all applicable laws, regulations and guidelines relevant to the protection of personal information, including, but not limited to, the Act on the Protection of Personal Information and JIS Q 15001.
  • 2. We collect your personal information by proper and fair means, and we properly use and provide your personal information only to the extent necessary to achieve the purpose of use indicated to you.
  • 3. We take appropriate measures to prevent unauthorized access to personal information, loss, destruction, falsification and leakage of personal information in accordance with our information security policy. If any of those events occurs, we promptly take all necessary measures to correct any of such events.
  • 4. We have established a contact point to receive your inquiries and complaints concerning our handling of your personal information, and we answer and/or take action to them appropriately and promptly.
  • 5. We establish and maintain a personal information protection management system properly and sustainably.

III. Policy on the Protection of Specific Personal Information

In addition to "II. Policy on the Protection of Personal Information, we comply with the Act on the Use of Numbers for Identifying Specific Individuals in Administrative Procedures (Number Act) and all relevant laws, regulations and guidelines related thereto to handle specific personal information properly.

Handling of personal information and specific personal information

I. Handling of personal information

Mitsui Knowledge Industry Co., Ltd. (hereinafter referred to as the “Company”) recognizes that the personal information you provide, such as your name, company name, telephone number, and e-mail address, is data that should be handled with the utmost care, and its collection, storage, and use shall be rigorously controlled.  

 

1. Purposes of use of personal information

The purposes of use of the personal information we handle shall be as follows:

A - Personal information related to customers
・Providing products, services, and related information
・Providing information on various seminars, exhibitions, etc.
・Conducting questionnaires, such as customer satisfaction surveys
・Business-related communications
・Management of contract fulfillment


B - Personal information related to business partners (officers and employees in the case of corporate customers)
・Business-related communications
・Management of contract fulfillment
・Conducting questionnaires, such as customer satisfaction surveys


C – Personal information related to inquiries made to the Company
・Responding to various inquiries
・Improving the quality of services provided by the Company’s call center, and checking the content of calls to the call center

E – Personal information received from business partners in relation to entrusted work
・ Carrying out work based on outsourcing agreements
・ Analysis for the purposes of improving the quality of related products and services. (However, this shall be limited to cases where the agreement of the parties in question has been obtained.)

I- Website browsing histories, etc. (*1, *2)
・Making improvements to website user convenience and service improvements through analysis of website browsing histories, etc. obtained from customers
・Distributing advertisements using website browsing histories, etc. obtained from customers and carrying out other similar activities

Other than the items A to I above, after obtaining consent of the parties concerned in relation to the purpose of use clarified by the Company, the Company may make use of acquired personal information within the scope permitted by such purposes of use.

*1 Information obtained from customers, such as website browsing histories, does not include information that makes it possible to identify specific individuals. However, there are cases where customers’ information is recorded in association with browsing history information or other such information, such as when applications are made to attend seminars hosted by the Company. In such cases, the said information shall be used within the scope of the purposes of use cited above.

*2 Cookies are text information transferred to a computer of a customer who uses the website. They are used to store customers’ website browsing history and entered information in the customer’s computer. The Company’s website uses cookies to increase user convenience. Please refer to the “About use of cookies” link for more details on the handling of cookies.

 

  

2. Restrictions in relation to purposes of use    

The personal information obtained by the Company shall be used within the scope necessary to achieve the purpose of use specified at the time of collection. If such personal information is used beyond the scope necessary to achieve the specified purpose of use, consent of a party from whom the personal information has been obtained shall be required in advance.

 

 

3. Shared use    

The Company shall make shared use of personal information as follows:

(1) Types of personal information to be shared
In the case of job applicants - name, gender, date of birth, telephone number, email address, home address, school name, academic achievements, academic history, career history, qualifications, facial photograph, etc.

(2) Purposes of use of personal information to be shared
・Providing recruitment information and receiving applications
・Carrying out a screening process and related administrative work, such as sending notifications

4. Provision to third parties    

The Company shall not provide the obtained personal information to third parties, except with the consent of the persons concerned, or where the provision of such information is required under laws and regulations.

 

 

5. Safety management measures    

In order to prevent leakage or loss of, or damage to, specific personal information obtained by the Company, the Company shall take necessary and proper safety management measures in line with related risks. (See VII. Details of safety management measures below.)

 

 

6. Call recording    

The Company’s call center (MKI Customer Care Center) may record the content of calls.

 

II. Handling of specific personal information

The Company recognizes that the specific personal information received from customers, including their individual numbers, is data that should be handled with the utmost care, and its collection, storage, and use shall be rigorously controlled.

 

1. Purpose of use of specific personal information

The Company shall use specific personal information for the following purposes.

(1) Specific personal information of officers and employees of the Company and their dependents
・Creating withholding slips and other such documents
・ Various procedures in the field of social security
・Implementing other administrative work related to individual numbers under the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures
(2) Specific personal information of individual payees
・Preparing payment records
・Implementing other administrative work related to individual numbers under the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures

 

2. Restrictions in relation to purposes of use

The Company shall use specific personal information within the scope necessary to achieve the purpose of use stipulated under the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures. Even with consent of individuals, the Company shall not use the specific personal information beyond the purpose of use.

 

3. Safety management measures

In order to prevent leakage or loss of, or damage to, specific personal information, the Company shall take proper safety management measures that are necessary for the management of the specific personal information. The safety management measures for specific personal information shall be provided for separately in the Detailed Rules on the Handling of Specific Personal Information. (See VII. Details of safety management measures below.)

 

4. Supervision of officers and employees and outsourcees

The Company shall carry out necessary and proper supervision with respect to officers and employees of the Company and outsourcees (including subcontractors) who handle specific personal information.

VII. Details of safety management measures

(Formulation of basic policies)
The Company deems the protection of personal information to be one of the top priorities in its corporate activities. In order to ensure the protection of personal information, the Company has formulated basic policies on the “Handling of personal information” and “Responding to requests for disclosure, complaints, etc.”.

(Establishment of discipline regarding the handling of personal data)
In order to prevent legal violations or leaks of personal information, the Company has developed management systems for handling personal information, and methods for handling personal information at each stage, including acquisition, storage, and use of personal information.

(Systematic safety management measures)
As part of efforts to protect personal information, the Company has appointed a company-wide supervisor, established administrative office functions, and built management systems at each organization in accordance with organizational structures. The Company shall also conduct regular self-inspections in relation to the handling of personal information, as well as audits carried out by an independent division/department.

(Personnel-focused safety management measures)
The Company shall provide regular training to officers and employees of the Company about the handling of personal information.

(Physical safety management measures)
In areas where equipment or media containing personal information is handled, the Company shall implement measures to prevent the viewing, theft, etc. of such personal information by unauthorized persons, including room access management for employees.

(Technical safety management measures)
In order to prevent unauthorized access to personal information, the Company shall limit authority to access to personal information to the minimum staff members needed.

(Understanding of the external environment)
The Company may supply the personal information it handles to third parties overseas, within the scope of the Company’s purposes of use.

(3) Measures implemented upon identification of systems, etc.
・ In cases where the Company supplies personal information to third parties based overseas, the Company shall carry out necessary and appropriate supervision in order to ensure the protection of personal information, for example, by stipulating proper access controls with respect to third parties under data processing contracts.
・ When providing personal data to third parties overseas (this shall exclude any overseas countries listed in (1) in possession of systems for the protection of personal information that are at an equivalent level to those of Japan), the Company shall obtain the agreement of the individual in question after disclosing measures to be implemented by the third party in question to protect personal information. Note, however, that in cases where the third party implements measures equivalent to those stipulated under the Act on the Protection of Personal Information of Japan, the said agreement of the individual in question shall be replaced by the provision of information about such measures in accordance with requests from such individual.
